# Billing and subscriptions

> Manage monthly billing, cancel renewal, resolve payment failures and understand what happens to customer cards.

Kardy merchant subscriptions are billed monthly. Payment details and subscription management are hosted securely by Kardy Payments. Only the selected business's Owner can manage billing; Managers and Staff cannot.

Each business has separate billing, even when the same account owns several
businesses. Each outlet belongs to exactly one business. Select the correct
business before viewing invoices, updating payment details or canceling renewal.

Growth is S\$50 per outlet/month. Each eligible new business's first outlet is
S\$25 for the first month, then S\$50/month. The offer does not repeat for
additional outlets, renewals or resubscriptions in that business. Scale pricing
and capacity are **Contact us**. See [plans and offer terms](https://docs.getkardy.com/features/plans.md).

> [!NOTE]
>
> Outlet-quantity billing must be enabled for the selected business. If the
> control is unavailable, contact Kardy; existing fixed-price subscriptions are
> not automatically migrated. Adding a location does not purchase more capacity.

## Change the number of paid outlets

All outlets use the business's one subscription. Three paid Growth outlets cost
S\$150/month, not three independent subscriptions.

1. Open **Settings → Billing** as the selected business's Owner.
2. Review the paid outlet quantity and choose the new quantity.
3. For an increase, confirm the new monthly total and prorated charge. Additional
capacity unlocks only after payment confirmation. Use **Refresh billing** if needed.
4. For a reduction, pause unwanted locations first and schedule the smaller
quantity for the next renewal. Pausing or deleting a location alone does not
lower the bill, and reductions do not automatically refund the current period.

Additional outlets cost S\$50/month each and do not receive another first-month
offer. See [pricing and activation](https://docs.getkardy.com/features/plans.md#one-subscription-paid-outlet-quantity).

## Manage billing or cancel renewal

**1. Open your workspace**

Sign in at [Kardy for merchants](https://merchants.getkardy.com) as the
Owner. Select the business whose bill you want to manage, then choose
**Manage billing**.

**2. Review your subscription in Kardy Payments**

Check the subscription, payment method, invoices and next billing date.

**3. Cancel and confirm**

Choose cancellation in Kardy Payments and complete its confirmation. Keep
the displayed access end date for your records.

**4. Use the rest of your paid period**

Cancellation stops renewal, not access you already paid for. You can reverse
a scheduled cancellation in Kardy Payments before the subscription ends.
Once it ends, paid merchant tools are unavailable.

## Recover from a failed renewal

1. On the paused workspace screen, choose **Resolve payment in Kardy Payments**.
2. Update the payment method and complete any outstanding payment using Kardy Payments’s available options.
3. Return to Kardy and select **Check payment status**. Access resumes after successful payment is confirmed—not simply when you save a different card.
4. If payment succeeded but access remains paused, contact [Kardy support](mailto:support@getkardy.com) with your workspace name and invoice reference. Never send card numbers or passwords.

Managers and Staff should ask their business Owner to resolve billing. Do not purchase another subscription to fix a failed renewal.

Current payment-related access restrictions apply to the business, including its
employees. Paying for another business does not restore this business's access.
Outlets do not have independent subscriptions. The business's payment-confirmed
quantity controls active-outlet capacity; employee role permissions still apply.

## What happens to customer cards?

Existing memberships remain in the customer’s Kardy wallet, with their saved progress.

| State | Customer experience |
| - | - |
| Cancellation scheduled, paid period not ended | Membership continues normally. |
| Service temporarily paused | **Programme paused**. Stamps and reward claims are unavailable. |
| Subscription ended | **Store inactive**. The explanation says the store’s service with Kardy has ended. |

Customers can open **Why?** for the explanation. Other active stores remain usable. Inactive stores are removed from the public directory and cannot accept new joins, stamps or reward claims.

Native wallet updates mark the store’s saved pass inactive when the update reaches the wallet service or device; delivery can be delayed. Check current availability in the [Kardy wallet](https://getkardy.com/member), not an old native pass image. The universal Kardy QR remains usable for other active memberships.

## Restart after the subscription ends

The owner can choose **Restart Growth monthly** on the paused workspace screen and review the price in Kardy Payments checkout. Existing workspace records are retained. The first-month promotion does not repeat for returning subscriptions.

## Billing policy

Subscriptions are non-refundable except where required by law or expressly approved by Kardy. Canceling renewal does not automatically refund a payment. For an incorrect charge, contact [Kardy support](mailto:support@getkardy.com) with the invoice reference.
